HCR Partnerships and Sponsorships Policy

Introduction

This Partnerships and Sponsorships Policy provides guidelines for establishing and managing relationships between Humanity Care Relief (HCR) and external entities. The policy ensures that all partnerships and sponsorships align with HCR’s values, mission, and legal obligations under UK law. The policy aims to maintain the integrity and reputation of HCR while maximizing the benefits of such collaborations.

1. Definitions

Partnership: A collaborative relationship between HCR and another organization, government agency, business, or individual, aimed at achieving shared objectives. This may include joint projects, co-branding, and shared resources.
Sponsorship: A financial or in-kind contribution from an external party to HCR in return for recognition, promotional opportunities, or other benefits.

2. Guiding Principles

Alignment with Mission and Values:All partnerships and sponsorships must align with HCR’s mission, values, and objectives. HCR will not engage with entities whose activities, products, or services conflict with its ethical standards or operational goals.

Legal and Ethical Compliance: All partnerships and sponsorships must comply with UK laws, including regulations related to charity governance, anti-bribery, anti-corruption, and data protection. HCR will not enter into agreements that could compromise its legal obligations or ethical standards.
3.
Transparency and Accountability: HCR is committed to transparency and accountability in its partnerships and sponsorships. This includes clear communication of the terms and conditions of any agreement and regular reporting on the outcomes of collaborations.
4.
Mutual Benefit: Partnerships and sponsorships should provide mutual benefits, contributing positively to HCR’s goals while offering value to the partner or sponsor. HCR will seek to establish relationships that enhance its capacity to deliver services and support to its beneficiaries.

3. Selection Criteria

HCR will assess potential partners and sponsors based on the following criteria:

    Reputation and Standing: The prospective partner or sponsor must have a positive reputation and standing in the community. HCR will conduct due diligence to ensure the entity does not engage in activities that could harm HCR’s reputation.

    Financial and Legal Integrity: HCR will verify the financial and legal standing of the potential partner or sponsor to ensure they are financially stable and comply with all relevant laws and regulations.
    3.
    Alignment with HCR’s Objectives: The goals and activities of the prospective partner or sponsor must align with HCR’s objectives and strategic priorities.
    4.
    Ethical Considerations: HCR will not engage with entities involved in activities considered unethical, such as human rights violations, environmental harm, or exploitation of vulnerable populations.

    4. Types of Partnerships and Sponsorships

    Strategic Partnerships:Long-term collaborations focused on achieving shared goals, including joint ventures, collaborative projects, and shared services agreements.

    Project-Specific Partnerships: Collaborations for specific projects or initiatives that align with HCR’s mission and goals.
    3.
    Corporate Sponsorships: Financial contributions from businesses in exchange for brand visibility and promotional opportunities.
    4.
    In-Kind Sponsorships: Contributions of goods or services instead of cash, including equipment, technology, or professional services.
    5.
    Community Partnerships: Collaborations with local organizations, community groups, or public institutions to enhance HCR’s outreach and impact.

    5. Approval and Review Process

    Proposal Submission: All potential partnerships and sponsorships must be proposed in writing, outlining the nature of the collaboration, expected outcomes, and benefits for both parties.

    Due Diligence: HCR will conduct a thorough due diligence process, including background checks, financial assessments, and ethical evaluations of the prospective partner or sponsor.
    3.
    Approval: The final decision to enter into a partnership or sponsorship agreement will be made by HCR’s Board of Trustees. High-value or high-risk collaborations may require additional legal review.
    4.
    Agreement Documentation: All partnerships and sponsorships will be formalized through a written agreement outlining the roles, responsibilities, terms, conditions, and expected outcomes. This document will include provisions for monitoring, reporting, and resolving disputes.
    5.
    Monitoring and Evaluation: HCR will regularly monitor and evaluate the outcomes of all partnerships and sponsorships to ensure they meet agreed-upon goals and adhere to HCR’s standards. The results of these evaluations will inform decisions on the continuation or termination of the relationships.

    6. Conflict of Interest

    HCR requires full disclosure of any potential conflicts of interest in its partnerships and sponsorships. Any HCR staff, trustees, or associates with a vested interest in a potential partner or sponsor must declare their interest and may be excluded from the decision-making process.

    7. Termination of Partnerships and Sponsorships

    HCR reserves the right to terminate any partnership or sponsorship agreement if the partner or sponsor fails to adhere to the agreed terms, engages in activities detrimental to HCR’s mission, or if the relationship becomes inconsistent with HCR’s ethical standards.

    8. Communication and Publicity

    All communications and publicity related to partnerships and sponsorships must be pre-approved by HCR’s Communications Team. HCR retains the right to control the use of its name, logo, and branding in connection with any partnership or sponsorship.

    9. Policy Review

    This policy will be reviewed regularly to ensure its relevance and effectiveness in maintaining ethical and beneficial partnerships and sponsorships. Updates will be made in compliance with changes in legal requirements and HCR’s strategic objectives.
